    Tips for Managing Data and Digital Documents Safely

    Documents are one of the important data for a company . It is through these documents that companies can make policies, strategic steps or simply tidy up administration. Now, the form of documents has changed from what was originally conventional in the form of paper to becoming digital. However, digital documents are considered vulnerable to being misused, falsified or duplicated. Therefore, digital documents must be stored neatly in a safe place. How are tips for managing data and digital documents safely? Here’s a review that you need to know.

    1. Create an Internal Policy Regarding Data Archiving in the Company

    Safe management of digital data and documents cannot run well without good regulation from the company. Therefore, it is important that companies have operational standards and internal policies for storing digital data. Some of the important points are, for example:

    • Don’t leave sensitive data on a device without extra protection. If you have to print documents using a shared printer , immediately delete the files from the print history.

    • If an employee is no longer working at the company, his documents and digital data need to be deleted with approval. This is to avoid misuse of digital data by irresponsible parties.

    • Determine who can access important digital documents at the company. For example, if you want to store and manage digital data and documents in the financial sector. Of course, the financial division and several company officials who can access it.

    • Implement policies using the clearest and best protocols.

    2. Ensure Adequate and Qualified Digital Data Storage Space

    After the company makes an internal rule or policy regarding data storage, the next step is to choose a digital data storage space. Here you need to calculate how much space is needed for important data storage in the company. Because, without mapping like this, it would be difficult to choose a good digital data storage space.

    3. Test Try Space Storage Digital

    When you have determined the storage space used, we recommend that you test it first before using it fully. Try all the features available in the digital storage media.

    That way, you can find out how difficult or easy it is for employees in your company and the public to access limited digital documents. This test is also important to do in order to determine the vulnerability of data storage to external threats. For example, hacking of documents and theft of digital data for things that violate the law by irresponsible parties. You can do these trials regularly and with the monitoring of IT experts in your company. When you have a secure digital document storage and management system, of course this can provide comfort and provide optimal results for company performance.

    4. Perform Back Up In Routine

    The next thing you can do is to regularly back up important digital data and documents on a regular basis. You can do this by building more than one storage space with cloud services .

    This is done in order to avoid damage and loss of data caused by disasters. The benefit is, when the data is damaged or lost there is still backup data. For example, when a hardware fire occurs, the data is still safe and stored elsewhere.  Then, save the digital document data in a format that cannot be changed unless you can change it yourself. For example, to save company documents or files, it’s best not to be in DOC format. however you can use in PDF format.

    5. Using Encryption

    Finally, for more optimal security of digital data and documents, you can use a unique encryption. This encryption consists of a series of numbers and letters that are different from one another, such as in the Digital Object Identifier (DOI), Archival Resource Key (ARK), as well as URL and PURL. In addition, to open and digital documents have legal force, you can also use digital identity such as digital signatures or digital hand face recognition or face recognition . This method is quite safe.
